Our
client is a well known manufacturer based in Slough,
Berkshire.
A role has become available for an experienced HR/PAYROLL
OFFICER - Details listed below.....
-
1.Recruitment Responsible for coordinating and administering
the recruitment process. Clarifying requirement
needs with Departmental Managers concerned, gaining
authorisation to recruit. Agreeing the Person and
Job Specifications with line management. Identifying
the best medium for recruitment and negotiate best
price. Reviewing CVs and keeping line management
advised. Arranging interviews and conducting either
alone or with line management as appropriate. Sending
out offer and rejection letters in line with company
policy. Negotiating starting salary within previously
agreed parameters. Ensuring satisfactory references
have been received prior to start date. Ensuring
all unsolicited applications are responded to within
5 days.
- 2.Payroll
Enter joiners and leavers, overtime, commission,
bonus and salary changes. Record name, address,
bank account and tax changes. Ensure that leavers
are not paid until all termination arrangements
are finalised. Maintain sickness records on the
payroll for SSP requirements. Run the monthly payroll
and prepare year end documentation. Distribute payslips
in a timely manner. Administer monthly stakeholder
pension information. Administer the participation
in salary surveys.
- 3.Secretarial/Administrative
Support Create and distribute weekly staff movements
and vacancy bulletins to include starters, leavers
and any relevant employee changes. Respond to reference
requests within 48 hours. Retain all CVs for 6 months.
Raise Purchase Orders as and when necessary. Maintain
copies of all contracts, standard letters and forms.
In the event of staff changes ensure the relevant
documentation is completed, this is to include revised
job descriptions, letters to confirm changes to
their terms and conditions of employment and ensuring
their files remain up to date.

4.Personnel Records Ensure absence records are updated
with any information received on the HR System.
Chase any irregular absences and take up issues
with line management. Keep employee database up
to date; ensure that a file is set up for each person
joining. Ensure all correspondence and notes relating
to each individual are placed on their files. Archive
files.

5.Joiners and Leavers Responsible for coordinating
and managing the starter and leaver process, to
include, taking up references, logging and chasing
responses. Ensuring a personnel file is made for
each person joining the company. Ensuring joiners
are inducted and all correspondence and notes relating
to each individual are placed on their files. Copying
joiners into the brought forward file, manage the
brought forward system for probation periods and
other follow-ups. Managing the long service awards
on a monthly basis. Sending out confirmation letters
and details of benefits after successful completion
of probation period. Conducting exit interviews.
Dealing with administration of leavers, liaising
with Office Services, IT and other service departments,
ensuring company property is returned.

6.General HR Administration Conduct inductions with
new starters and arrange induction meetings with
each department. Create and update master induction
documentation, organise company medical in line
with Company Policy, suggest and implement improvements
in policies and procedures in line with changes
in UK and European Legislation and best practice
guidelines, Ensure that pregnant employees are informed
in writing of their statutory entitlements and the
MATB1 form is received. Follow up to establish date
of return or otherwise and keep in touch with those
on maternity leave. Take on ad hoc projects as required
and cover for other members of the team.

7.Disciplinary Issues Liaise with managers where
problems with employees arise, ensuring that proper
records of all meetings are kept and that the company's
disciplinary and grievance procedures are followed
in order to resolve matters as quickly and positively
as possible and avoid wasting management time and
affecting the morale of other members of the company
- 8.Counselling
Support Provide informal support & counselling as
requested.
